One morning, your fever spikes, your throat burns, and your alarm is set to go off in twenty minutes. Before even calling your doctor back, you need to let work know. Texting is still the quickest way to report a sick day, but its brevity often leads people to rush the message—or, conversely, to share too much.

Writing an effective sick-day absence text means choosing the right information, using the right tone, and following a few simple rules around privacy and administrative requirements.

What to include in your text (and what to leave out)

It’s easy to assume that a short text doesn’t need any structure. In practice, a message that’s too vague leads to unnecessary back-and-forth with your manager, while one that’s too detailed reveals medical information that doesn’t need to be shared.

An effective sick-day absence text includes four key details:

  • The date or expected duration of your absence, even if it’s approximate (“today” or “through Wednesday”).
  • A note that you’re unwell, without specifying your diagnosis. “I’m feeling unwell” or “for health reasons” is enough.
  • A commitment to provide supporting documentation (a doctor’s note) within the required timeframe.
  • A brief note about immediate arrangements: an urgent task to hand over, a meeting to reschedule, or simply “nothing urgent on my end today.”

Your medical diagnosis doesn’t belong in the message. The section of the doctor’s note intended for your employer doesn’t mention your condition either. Saying “I have a stomach bug” or “I’ve thrown my back out” adds nothing and unnecessarily exposes your private information.

For ready-to-use wording, you can refer to a sick-day absence text template tailored to different workplace situations.

Tone and wording: choosing the right register for your recipient

The most common pitfall isn’t leaving out information—it’s getting the tone wrong. A text to a hands-on manager at a small business with twelve employees shouldn’t read like a message to the HR department of a large corporation.

Direct manager you know well

You can keep the tone conversational without being overly familiar. Greet them, explain the situation, and say what happens next. For example:

“Hi Marie, I’m feeling unwell this morning and won’t be able to come in. I’m seeing my doctor this morning and will keep you updated. The Durand file is up to date on the server.”

Three sentences, no medical details, and one practical update for the team. This format works in most situations.

HR contact or more senior manager

Use a more formal, neutral tone. Avoid abbreviations and clearly state that you’ll send the supporting documentation shortly:

“Hello, I’m writing to let you know that I’ll be absent today for health reasons. I’ll send you my doctor’s note as soon as I receive it. Please feel free to contact me if anything urgent needs to be handed over.”

Matching your tone to the recipient helps avoid misunderstandings and shows that you understand the communication norms in your workplace.

Sick-day absence texts: common mistakes that can cause problems

Some missteps are common and can have real consequences for how your absence is perceived—or even whether you continue to receive your pay.

Sending the text too late

Letting your manager know at 10 a.m. when your shift starts at 8 a.m. creates uncertainty. For two hours, the team doesn’t know whether your absence is planned, accidental, or indefinite. Sending the message before your usual start time is the safest approach. If your health prevents you from texting early, someone close to you can send the message on your behalf and explain why.

Confusing notice to your employer with steps required by health insurance

The text notifies your employer. These are two separate obligations. A text doesn’t replace sending your doctor’s note—it supplements it.

Forgetting to keep a record

A sent text remains in your conversation history, providing a record. Depending on your company’s internal rules, you may also need to use another channel (email, a form, or an HR app). If your company has a specific procedure, it’s best to send a message through the official channel as well as texting, to avoid any dispute.

Sick-day absence text templates for different durations

Every situation is different. One day off with flu-like symptoms doesn’t call for the same level of detail as several weeks of medical leave.

Short absence (one or two days)

“Hi [First name], I’m sick this morning and won’t be able to work today. I’ll let you know tomorrow morning how I’m doing. I don’t have any urgent tasks pending.”

This is the most common format. Don’t mention a doctor’s note if you don’t have one yet, but let them know you’ll follow up.

Extended sick leave

“Hi [First name], following my appointment, I’ve been signed off work until [date]. I’ll send you the supporting documentation by post/email today. For my current projects, [Colleague’s name] has everything they need. I’m available by text if anything is needed for the handover.”

It’s helpful to mention who will cover your work if you’ll be away for more than two days. This helps keep work moving and limits requests while you recover.

Same-day absence (morning emergency)

“Hello, I won’t be able to work today due to a health issue that came up overnight. I’m seeing my doctor this morning and will get back to you as soon as I have a clearer idea of how long I’ll be away.”

An urgent situation calls for a shorter message. Follow up later that day with an estimate of how long you’ll be away.

After sending the text: steps to protect yourself during your absence

Sending the message isn’t the end of the process. A few simple steps can protect both you and your relationship with your employer.

Keeping a screenshot of the text with its timestamp can be useful if there’s a dispute about when you gave notice. If your company uses an absence management tool, report your absence there as well. Finally, following up by email the next day summarizes the situation and creates a more formal record than the original text.

Checking your employment contract or collective bargaining agreement is the most reliable way to find out the exact deadline for submitting a doctor’s note in your situation.

A well-written sick-day absence text takes three sentences, protects your privacy, and gives your employer what they need to plan the day. Everything else—the diagnosis, details, and explanations—belongs in the medical certificate, not in your message thread.
